Friends of Daley Ranch Board Minutes

Special Meeting, August 29, 2019

 

Present: Colleen Mackinnon, Fred Woods, Dick Althouse, Liz Ridder, Rick Mercurio and Denise Harter

 

Colleen opened the meeting at 7 p.m. at her home.

 

Currently Colleen is on the main checking account for FODR at Mission Federal Credit Union. She said that she would like “a second pair of eyes” on the finances, a monthly commitment to check reports, etc. Colleen moved to appoint Jerry Harmon, who had agreed to do this, for the role of interim financial overseer. Fred seconded and the motion passed unanimously.

 

Colleen said that FODR ought to change passwords on all accounts as well as add two new email accounts. Currently we have info@daleyranch.org, and Denise has agreed to monitor this. Colleen moved to allocate $5 per month to create an email account to be used by our treasurer as an addition to our Cloud storage. Rick M seconded and the motion passed unanimously. Colleen then moved to allocate an additional $5 per month to create another email address that Colleen herself would monitor. Rick M seconded and the motion passed unanimously.

 

Rick Paul submitted a letter of resignation to his post as treasurer. Colleen read his letter to the Board. The Board is extremely grateful to Rick for his years of dedicated service to FODR. The Board discussed possible recruits to replace him, but no decision was made. Next, the job description of FODR Treasurer was discussed and refined. We want a new bookkeeping system, which would be automated and integrated with our bank accounts. This could potentially free up the treasurer from mundane bookkeeping tasks. The treasurer would oversee the budget in terms of its application to our mission statement and strategic plan. The Board also discussed using a CRM, Customer Relationship Management program. Colleen seeks a more comprehensive treasurer position. Denise stressed that changes should be taken one step at a time.

 

The first priority is to set up a bookkeeping system, something like Quick Books. Colleen will present options at the next meeting. Denise has extensive experience with these matters, and volunteered to help FODR.

 

The second priority for a treasurer is budget management. This could include a “paper process” for submission, filing, and Cloud storage.

 

The third priority or duty is filing of taxes.

 

Colleen will lead a continuation of this discussion at the next meeting.

 

Change of date for next meeting: The next regular Board meeting has been changed to Tuesday, September 24, at 6 p.m. at the home of Denise Harter, 10202 Jesmond Dr., Escondido 92026
